1. Purpose
This policy sets out how Evenii Limited manages construction and trade operations in a safe, organised, professional and evidence-led way.
It applies to all Evenii works, including:
- commercial roofing
- flat roofing
- pitched roofing
- roof repairs
- emergency roof works
- planned preventive maintenance
- surveys and condition reports
- commercial landscaping
- hard landscaping
- grounds maintenance
- fencing
- general building and refurbishment
- subcontracted works
- site visits and inspections
2. Core operating standard
Evenii’s operating standard is:
Plan the work. Control the risk. Communicate clearly. Document the evidence. Leave the client with confidence.
Every job must be managed with appropriate attention to:
- health and safety
- competence
- access
- weather
- site users
- public safety
- documentation

3. Legal and regulatory framework
Evenii’s works may be subject to legal duties including, where applicable:

4. England, Wales and Scotland
This policy is intended for use across Great Britain where Evenii carries out or supports works.
However:
- England and Wales have one legal jurisdiction.
- Scotland has a separate legal system.
- Health and safety law is broadly GB-wide, but contract interpretation, court procedure, property issues, Scots law terminology and dispute handling may differ.
- Construction payment and adjudication rules apply across England, Wales and Scotland, but contracts should be checked for the relevant jurisdiction.
For Scottish projects, Evenii should ensure the contract clearly states:
- governing law
- jurisdiction
- adjudication procedure
- payment terms
- notices process
- dispute escalation route
- insurance requirements
- site-specific compliance obligations
5. Roles and responsibilities
5.1 Director / Operations Lead
Responsible for:
- ensuring the business has suitable operating controls
- approving high-risk works
- appointing competent persons
- reviewing serious incidents, near misses or complaints
- ensuring insurance, accreditations and key documentation remain current
5.2 Project Manager / Supervisor
Responsible for:
- planning the work
- briefing operatives and subcontractors
- ensuring RAMS are suitable and communicated
- coordinating access, materials, programme and client communication
- monitoring site standards
- capturing photographic evidence
- escalating risks, variations and incidents
5.3 Operatives and subcontractors
Responsible for:
- following RAMS and site rules
- using PPE correctly
- working only within competence
- reporting hazards, defects and near misses
- keeping the site tidy and safe
- respecting client sites, tenants, staff, visitors and the public
- stopping work where conditions become unsafe
5.4 Subcontractors
Subcontractors must provide, where requested:
- insurance certificates
- competence records
- training records
- RAMS
- COSHH assessments
- waste carrier details, where applicable
- accreditation details
- plant and equipment inspection records
- contact details for supervision and escalation
6. Pre-start requirements
Before starting works, Evenii must consider:
- client instruction and scope
- site address and access
- known hazards
- emergency arrangements
- site occupancy and public interface
- roof type, height and fragility
- asbestos risk
- fragile surfaces and rooflights
- access equipment
- weather exposure
- permits required
- welfare arrangements
- parking, deliveries and storage
- working hours and noise restrictions
- safeguarding or sensitive site rules, especially schools, healthcare and occupied residential settings
- waste disposal requirements
- photographic record requirements
- handover requirements
7. RAMS and method statements
Risk assessments and method statements must be suitable and proportionate to the works.
RAMS should cover:
- task description
- sequence of work
- access and egress
- work at height controls
- fragile surface controls
- tools and equipment
- manual handling
- public and client interface
- weather conditions
- PPE
- COSHH
- waste
- emergency arrangements
- supervision
- competence requirements
- residual risks
No operative or subcontractor should start work without understanding the safe system of work.
8. Work at height and roof work
Roof work and work at height are high-risk activities.
Evenii must ensure:
- work at height is avoided where reasonably practicable
- where it cannot be avoided, it is properly planned, supervised and carried out by competent people
- suitable access equipment is selected
- fragile surfaces are identified and controlled
- roof edges, openings and rooflights are protected
- weather conditions are assessed
- emergency rescue arrangements are considered
- ladders are only used where appropriate for low-risk, short-duration work and properly controlled
- fall prevention is prioritised over fall arrest where reasonably practicable
9. Emergency roof repairs
Emergency roof repairs must be managed as safe make-safe first, not reckless permanent repair.
The immediate priorities are:
- protect life and prevent injury
- prevent further water ingress where safe
- isolate unsafe areas
- communicate clearly with the client
- record the condition with photos
- recommend a permanent repair route where required
Emergency attendance does not remove the need for risk assessment.
If conditions are unsafe due to wind, rain, ice, lightning, poor visibility, fragile materials, unsafe access or uncontrolled public interface, works must be paused, delayed or limited to safe containment.
10. Surveys and condition reports
Survey work must be evidence-led.
Reports should normally include:
- site address
- date of inspection
- inspection limitations
- visible condition
- defects identified
- likely causes where reasonably assessable
- photographs
- urgency rating
- recommended remedial actions
- safety concerns
- budget or priority notes where appropriate
- exclusions and assumptions
11. Landscaping, fencing and grounds works
For landscaping, fencing and grounds work, Evenii must consider:
- underground services
- excavation risk
- plant and machinery
- manual handling
- vehicle movements

- slips, trips and falls
- waste and spoil removal
- dust, noise and vibration
- weather and ground conditions

12. Site conduct
All Evenii staff and subcontractors must:
- behave professionally
- wear appropriate PPE
- follow site rules
- keep work areas tidy
- avoid offensive language or behaviour
- avoid unnecessary disruption
- respect client property
- avoid smoking or vaping except in permitted areas
- avoid unauthorised photography
- protect confidential client information
- report issues promptly
On occupied sites, extra care must be taken around residents, pupils, patients, staff, visitors and the public.
13. Client communication
For each project, Evenii should maintain clear communication on:
- scope
- programme
- access requirements
- risks and limitations
- start dates
- delays
- weather impact
- variations
- findings
- safety concerns
- completion status
- handover documents
Where instructions change, variations should be confirmed in writing before additional works proceed, unless emergency safety action is required.
14. Quality control
Work must be checked against:
- agreed scope
- manufacturer guidance
- relevant standards
- project specification
- client requirements
- visual finish
- weathering and performance
- safety requirements
- handover evidence
Defects, snagging items or incomplete works must be recorded and actioned.
15. Photographic evidence
Photographic evidence should be captured where appropriate:
- before works start
- during works
- where defects are discovered
- where hidden conditions affect scope
- after completion
- for handover
- for emergency works
- for client approvals
- for dispute protection
Photographs must be stored responsibly and should not include unnecessary personal information.
16. Materials and equipment
Materials must be:
- suitable for the project
- stored safely
- protected from damage
- handled in line with manufacturer guidance
- checked for defects before installation
- documented where warranties or specifications require it
Plant, tools and equipment must be:
- suitable for the task
- inspected where required
- used by competent people
- maintained in safe condition
- removed from use if defective
17. Waste and environmental controls
Evenii must manage waste responsibly.
This includes:
- segregating waste where appropriate
- using authorised waste carriers
- avoiding uncontrolled disposal
- preventing pollution
- controlling dust, debris and run-off
- keeping sites tidy
- protecting drains and watercourses
- recording waste transfer documentation where required
18. Asbestos and hazardous materials
If asbestos or suspected asbestos-containing materials are discovered, works must stop in the affected area.
The issue must be escalated and managed in accordance with applicable asbestos requirements.
No person should disturb suspected asbestos unless properly trained, authorised and operating under the correct legal framework.
19. Accidents, incidents and near misses
Accidents, incidents and near misses must be reported promptly.
This includes:
- injuries
- falls or dropped objects
- scaffold or access issues
- equipment failure
- public safety issues
- service strikes
- hazardous material discovery
- vehicle or plant incidents
- environmental incidents
- serious workmanship or safety defects
The Director / Operations Lead must review serious incidents and ensure corrective action is taken.
20. Complaints and disputes
Complaints should be recorded and handled professionally.
The record should include:
- complainant details
- project or site reference
- issue raised
- date received
- evidence reviewed
- response given
- corrective action
- outcome
- lessons learned
Disputes involving payment, scope, delay, defects or contractual interpretation should be escalated internally before external escalation.
21. Payment, notices and construction contracts
For commercial construction contracts, Evenii should ensure that written terms clearly address:
- scope
- contract sum or pricing mechanism
- payment dates
- due dates and final dates for payment
- payment notices
- pay less notices
- variations
- extensions of time
- defects
- adjudication
- suspension for non-payment
- insurance
- termination
- governing law and jurisdiction
22. Records and audit trail
Evenii should retain appropriate records, including:
- enquiries
- quotations
- client instructions
- RAMS
- permits

- waste documentation
Records should be stored securely and retained in line with legal, insurance, contractual and business requirements.
23. Stop-work authority
Any Evenii operative, supervisor or subcontractor has authority to stop work where there is a serious or uncontrolled risk.
Work must not restart until the risk has been reviewed and suitable controls are in place.
No person should be penalised for stopping work on genuine safety grounds.
24. Review
This policy should be reviewed:
- annually
- after a serious incident
- after a major complaint
- when legal requirements change
- when Evenii expands into new services, regions or higher-risk work types
- when accreditations or procurement frameworks require updated procedures
